Email scamming and scammers have been around for a long time and many see them as a bit of a joke as they’ve always been very easy to spot. Unfortunately, this is no longer the case as these latest emails appear to be extremely genuine, can often call you by name, and can appear to come from reputable Irish companies, or someone you know – even within your organisation.

 

The content of these emails generally requires that you click a link within the email body, or open an attachment in the email. The results of opening the attachment or link can be very malicious, and can cause significant damage.

 

While technology can block the majority of these emails, it cannot block them all. We would advise that you circulate an email to all email users within your organisation to be very cautious when opening email attachments, and to not click any links within these emails, even if it is from someone you know.

 

If you are unsure in any way, please telephone and speak with the person you received the mail from to verify the content.

 

Of particular note, are emails claiming to be from:

 

  • Revenue Commissioners (often with Gaeilge)
  • Eircom / eir
  • Senior people within the company, asking to pay bills
  • National Lottery
  • Bank of Ireland

Cloud Mail – How To – Password Reset

This Tech Tuesday we decided to put a quick post together for our customers in relation to one of the most common requests we see on our help desk. “How do I reset my cloud mail password?”

To change your email password follow the simple steps below:

Cloud Mail

  • Once logged in near the middle of the page you will have the manage section, click on manage to enter your account.

  • Click on Mailboxes

Microsoft exchange

  • Click on the Display name of the mailbox and then click on Set Password

  • Your password must be minimum 8 characters long and must have one capital letter and one small letter. Must contain at least one numeric value and one special character. Click Set password and you’re all done.

Email Phishing has never gone away, in fact if anything, it has become more prevalent and far more sophisticated. This TechTuesday we are looking at Digital Email Signatures, a way to protect against phishing attempts that appear to come from genuine contacts.

What is a digital signature?

It’s a certificate that tells the recipient of an email that the message they have received is genuine and has not been changed or manipulated in anyway during transit. If any middle man tried to modify the contents the email client will show an error message. Something quite handy if you wish to know that the emails you receive are genuinely from who they say they are and the contents are exactly as they should be.

 

Digital certificates are issued by the same bodies that offer SSL, for the purpose of this post I used StartCom.

 

To setup your digital signature just follow the steps below

 

Go to StartCom: www.startssl.com/SignUp

 

Enter your email address and press submit, you should see the below window asking for a Verification Code, this will take a few minutes to arrive in your inbox. Once it does copy & paste it into the verification field and click ‘Sign Up’.

You should see this screen:

Press ‘Yes’ and then ‘Login Now’:

Choose a password and keep note of it as you will need it later:

Once you’ve entered your password and pressed ‘Submit’ you should see the following screen:

Click ‘Download Files’ to get your security certificate, then open the downloaded file. You should see the following wizard:

Press ‘Next’

Then ‘Finish’, you should see the following:

Press okay and open Outlook – go to ‘File’ – ‘Options’ – ‘Trust Center’ then click ‘Trust Center Settings’:

In the next window select ‘E-mail Security from the side menu and tick the ‘Add digital signature to outgoing messages’ box. Below that in ‘Default Setting: you should see:  ‘My S/MiME Settings (your email address)’, if you don’t press the drop down and select it from there. Press okay and you’re done.
